I can’t join the President’s Club event - what now?

Can I bring a spouse, partner, friend and/or can they attend the event with me?
No, this is a SoftwareOne employee event which is for SoftwareOne employees only.
If I cannot attend President's Club this year, can I attend an equivalent trip at another date at the company’s expense or attend the following year?
No, President's Club is a one-off event for the year you won and is non-transferable.
I can’t join the President’s Club event myself, am I allowed to send somebody else from my team?
No, this is a personal invitation which is non-transferable.
What do I need to think of to be able to travel?
Make sure to check and settle the following:
SoftwareOne internal: check travel regulations and get approval from your leader + inform about your absence
Fill out the registration form
Check the entry requirements and organise your visa yourself (in the case that you need one to enter Mexico)
What are the entry requirements?
Please clarify the entry requirements for your country, the validity of your travel documents, and make the appropriate preparations. Some countries might require a visa for Mexico. Here you can check if you need a visa.
Please be advised that Mexico will not issue visas at arrival so you must be in possession of your visa upon departure.
How does the visa application process work?
You are responsible for obtaining the visa yourself. Start the application process straight away to ensure that you receive the visa approval on time.

How does the flight booking process work?
The flight booking team at Cosa Travel will reach out to you after the registration deadline and will offer you a suitable flight connection based on your answers in the registration form. Please note the following important information:
Flight tickets cannot be changed, rebooked or cancelled after the booking has been made. In case of any changes, costs will apply. Those costs are at your own expense.
Your name must be spelled exactly the same way as in your passport. Costs will apply in case of name corrections. In case of a legal name change, please inform our event partner Cosa Travel (softwareone@cosatravel.ch) immediately.
Do I need to book anything by myself?
The majority will be arranged for you according to your answers in the registration form. That includes your flight ticket, transfers, hotel accommodation, as well as meals and activities during the event.
Please note: If you arrive earlier or stay longer for leisure purposes, you are responsible to arrange and pay that respective transfer by yourself. If you arrive or depart earlier or later due to your unavoidable flight connection, we will arrange a transfer for you.
When does the event start?
The event officially starts on Wednesday, May 7 at 6pm with a relaxed Welcome Evening at the hotel. The optimal arrival time is Wednesday afternoon (check in from 3 pm). Don’t worry if you arrive later, there will be enough food and drinks for everyone.
When does the event end?
The event will end on Saturday evening with our Farewell Evening. Sunday, May 11 is departure day only. There is no official program.
Can I arrive earlier/leave later than the official event dates?
Yes - your flight can be booked on your preferred date. However, any additional costs for accommodation, transfers etc. will be at your own expense.
Will there be a transfer from the airport the hotel on arrival/departure day?
A transfer together with other participants will be organised for you according to your arrival time.
Please note: Transfers are only organised on the event dates. That means that if you arrive before Wednesday and depart after Sunday you are responsible to arrange and pay your transfers by yourself. Exception: Long-distance traveller will also be picked up on Tuesday.
What can I do to reduce or/and compensate my flight emissions?
Human-induced climate change is one of the greatest challenges of the 21st century. Follow myclimate's motto: "Do your best, offset the rest".

Do I have a single room or do I have to share my room with a colleague?
You will have a single room.
Can I book pre/post nights at the hotel?
Yes, we can offer you special rates at the Conrad Punta de Mita Hotel 3 nights prior and after the event.
Important to know:
If you are interested in pre/post nights please tick the relevant box when registering. You will then receive the rates of the Conrad Punta de Mita Hotel from our event partner Cosa Travel and can then decide if you want to extend your stay at the hotel.
All additional accommodation costs at the Conrad Punta de Mita Hotel beyond the event days (May 7-11) are at your own expenses and need to be paid to the hotel directly upon check-out.
Pre/post nights will be handled as a separate booking, meaning that a room change might be necessary when the event starts or ends.
There is no room reserved for you for additional overnights until Cosa Travel confirms the reservation with you.
What is the detailed itinerary?
A rough program overview is available on the event page. You will receive all further details shortly before the event or on site.
Do we have the event app again this year?
Yes of course! We will send you a link to download the President's Club app before the start of the event. In the app you will be able to view the itinerary, receive news about the event, share thoughts and photos and interact with your colleagues and the event organizers.
Is there any free time in the agenda?
Yes - Saturday morning is at leisure. Also, the activities on Friday and Saturday afternoon are optional and you do not have to attend if you do not want to.
How will my data be used?
All personal details provided by you will be treated confidentially in accordance with current Swiss data protection legislation. Your data will be exclusively used for the event and may be forwarded to third parties for the organization of President's Club 2025. In case you have any questions about your data, please contact our event partner Cosa Travel (softwareone@cosatravel.ch).
Will there be a film team taking pictures and videos during the event?
Yes, a film team will capture the best moments of the event. A movie of President’s Club 2025 will be created and shared within the company to inspire and motivate.
